HomeMy WebLinkAbout09-16-19 WAF Min WESTLAKE ACADEMY FOUNDATION Board Meeting September 16,2019 Board Members in Attendance: Debbie Kraska, Christine Ross,Ahu Sieg,Laura Luckett,Michael Colby, Sean Shope,Meghan Dorr,Leah Rennhack,Zan Jones,Leigh Sansone and Karen Stoltenberg Others in Attendance: Mechelle Bryson,Debbie Piper, Shelly Myers and Julie Kelly I. C. Ross called the meeting to order at 8:30AM. 11. Motion to approve minutes of August 26,2019 meeting by A. Sieg, second by D.Kraska. Motion carried. 111. Financial Report • S. Shope presented financial reporting as of August 31,2019, and provided overview of Current Month activities, emphasizing that August 31 st was the fiscal year-end. • Financial Analysis displayed year-end transfers,including moving 10%of Gallery Night and Westlake Baja gross proceeds to the Administrative account for transfer to the Endowment. Endowment dollars are currently in process of transferring to new broker,RBC. • Statement of Activities was discussed with highlight on Budget vs. Actual revenues and expenses for the year. • S. Myers reported that the FY19-20 budget will be tabled until details regarding prior year's expenses have been received. • M. Colby moved to approve Financials, second by L. Sansone. Motion carried, and Financials approved. IV. Grants Committee • L. Rennhack presented grant application for"Screenagers: Next Chapter,Uncovering Skills for Stress Resilience."M. Colby moved to fund up to requested amount of$936.00, second by S. Shope. Grant approved. • L. Rennhack presented grant application for"Character Strong: SEL Guidance Curriculum." L. Sansone moved to fund up to requested amount of$3,999.00, second by M. Colby. Grant approved. V. Development Initiatives • Blacksmith Annual Fund o A. Sieg reported on social media campaign promoting BAF and Blacksmith Giving Day, including grade level Facebook page postings. The WAIT website has been updated as well to promote BAF and the Westlake Baja. o S. Myers reported that Giving Day materials will be handed out in the PYP and MYP carlines, and distributed samples to Board. o Kim Vickrey hosted a BAF grade captain kick-off to engage grade captains early in the communication process with their respective grades' families. • Westlake Baja o M. Colby met with Mayor Laura Wheat and Westlake resident and founder of Baja event, Tim Britain,to discuss the Legacy Teacher Fund. o The date of this year's Baja event,November 1 lth,has been secured at the Vaquero Club. o Discussed live auction possibilities and potential musical act as entertainment. o S. Myers to send out schedule of events, sponsorship benefits and details. VI. President's Report • C. Ross encouraged Board to promote Giving Day on their social media accounts and among friends and associates. She thanked the Board for their work on the various WAF efforts so far this fall. VII. Executive Director's Report • S. Myers informed the Board of an upcoming conference, Board2Board, scheduled for November 8`h, 9:30am-3:30pm, in Frisco. If interested in attending,Board members should let her know. Other Business None L. Luckett moved to adjourn the Board meeting, second by A. Sieg. Motion carried. Meeting adjourned at 9:47AM.
