HomeMy WebLinkAbout10-09-18 WHPS Min J MINUTES FOR THE WESTLAKE HISTORICAL PRESERVATION SOCIETY October 9,2018 Council Chambers 1500 Solana Blvd.,Building 7,Suite 7100 Westlake,Texas 76262 PRESENT: President Morris, Paula Thornton, Steven Thornton, Patricia Rapp, Daniel Zipperlen (phone), and Tom Miller ABSENT: Jon White Guests: Ginger Awtry,Jared Greenwood (phone) 1. CALL TO ORDER. President Morris called the meeting to order at 6:08 p.m. 2. REVIEW AND APPROVE MINUTES OF THE WHPS MINUTES HELD ON August 21, 2018. Minutes were discussed MOTION: Member Miller made a motion to approve the minutes. Member P Thornton seconded the motion. The motion carried. 3. REVIEW AND APPROVE MINUTES OF THE WHPS MINUTES HELD ON September 11, 2018. Minutes were reviewed. MOTION: Member S Thornton made a motion to approve the minutes. Member Miller seconded the motion.The motion carried. 4. COMMITTEE REPORTS a. Classic Car Show (Saturday, October 20, 2018; rain date Saturday, October 27, 20181 We reviewed the car show assignment list for jobs.WHPS members should arrive at 7:30 a.m. and clean up will be from 4:00 to 5:00 p.m. Town staff will work on setting.up before the 7:30 start time. Jarrod Greenwood reviewed and went over protocol for setup of car show. Allow for back-up workers and additional help where needed. Kids Korral: Tables with kid appropriate items and the fire truck for kids on the side of the car show under the pine trees. Pine car Derby will be in the Larry North Fitness center; all cars have been sold at the school for pine car and had to buy 21 more for a total of 49 sold to date. The pine cars will be from 11 to 2:30. Rain day will be the 27th of October. Budget for Car show: Projected Totals to date for income is $5,868.00. Rain dates and threat of rain will affect this years car show participants. Advertising for the Texas Motor Speedway silent Auction item was sent out and as a Face book and a boost in the next week. Jamie will take photos. Mounted patrol will be included this year. Projected expenses will be $4,631.00 Future Pine car expenses will need to be approved by the board as well as any expenses associated with the Westlake Classic Car Show. Ginger will have a branding table. b. Veteran's Day (Sunday, November 11, 2018, 5:00 p.m. to 6:30 p.m. Stephen Thornton presented the schedule for the event. Wants to increase the event attendance.A flyer for the event will be created and distributed. Event will take place at the Westlake Academy MPH from 5:00 to 6:30 p.m. Contact will be made to contact VFW to discover veterans of the area. Discussion on events to include the information about poppy's history, include a display from England and c. WHPS Website & Social Media 2 boosts for car show event on FB, cost had already been rolled in to car show costs. Could add a boost for Veteran's Day(2 for$20). Event has been placed on the postcard for the brand and mailed out. MOTION: Member Rapp made a motion to approve 2 boosts for FB for Veteran's Day at a cost of$20 each. (3 to 15,000) Member Miller seconded the motion.The motion carried. d. Treasurer&Membership Reports President Morris presented the budget. Revenue for Sept$550.And Expenses $201.96 MOTION: Member S. Thornton made a motion to approve the $150 expenses for the speaker at Constitution Day. Member P Thornton seconded the motion. The motion carried. President Morris presented information for the Membership report. e. Simply Westlake- Due Oct 10 for Dec issue Ginger Awtry submitted an article to Simply Westlake today. S. OLD BUSINESS a. Constitution Day- Recap Paula Thornton reported it was great to see the Mayor in attendance and it was disappointing that there were not more guests. We would like to promote this through the school to support the program and improving attendance. Maybe we could provide a "scavenger hunt" for students to come with and we need to submit notes to Ginger to be included into the school communique. JULY 10th for DEADLINE in Simply Westlake. Possibly try to help organize an assembly for the school for next year. 6. NEW BUSINESS Page 2 of 3 a. Future Ideas Present an article to Simply Westlake with our Board and mission to include a calendar of events. This is meant to promote and advertise for our organization. We could contact realtors for purchasing and giving the book to new residents. Need to explore and develop ideas for getting our names out to residents. Discussion of how the book can be utilized as a tool to help promote and educate new residents of the history of the area. Pat Fleming at the club to talk with her about reaching out with information about our organization. Talk to and participate HOA's and possibly giving out the book as a yearly award. A google drive has been created to house documents we are working. 7. ADJOURN MEETING President Morris asked for a motion to adjourn the meeting. MOTION: Member S. Thornton made a motion to adjourn the meeting. Member Miller seconded the motion. The motion carried. President Morris adjourned the meeting at 8:55 p.m. The next scheduled meeting of the Westlake Historical Preservation Society Board will be Tuesday, November 6, 2018, at 6:00 p.m. at the Council Chambers, 1500 Solana Blvd., Building 7, Suite 7100,Westlake Texas 76262.
