HomeMy WebLinkAbout06-12-18 WHPS Min J MINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY June 12,2018 Home of Stephen and Paula Thornton Westlake,Texas 76262 PRESENT: President Stephen Thornton,Tom Miller,Kim Morris,Jon White, and Patricia Rapp ABSENT: Paula Thornton,Daniel Zipperlen 1. CALL TO ORDER. President Thornton called the meeting to order at 7:03 P.M. 2. REVIEW AND APPROVE MINUTES OF THE WHPS MEETING HELD ON May 1, 2018. Member Rapp read the minutes. President Thornton asked for a motion to approve. MOTION: Member Miller made a motion to approve the minutes. Member Morris seconded the motion. The motion carried. 3. TREASURER'S REPORT. Member Morris distributed the Statement of Activities as prepared by Melinda Brown of the Town of Westlake. She reviewed the revenue and expense receipts. Totals for the categories were$150.00 of revenue(membership and book sales)and $385.95 for expenses. (Decoration Day, Membership drive expenses and Car show)Discussion continued on actual costs for Car show. Jarrod Greenwood requested approximately $5,000.00 for car show cost. Board was concerned about past costs for car show and would like to see a breakdown of costs from Town. It was brought up that Jarrod would likely attend meeting in August to provide car show details. 4. MEMBERSHIP REPORT. One new membership was Joe Small and membership renewals notices were sent out. To keep costs down, some were hand delivered. Work was completed on refreshing and renewing the membership list. Online renewal may be an option in the future supported by the Town of Westlake Website. A request was made to change the"greenhorn" membership level name to"acorn"membership. The Greenhorn membership level was a level designated as a student membership. There has never been anyone to sign up as a greenhorn. It was felt the Greenhorn name could be considered offensive to some. 5. OLD BUSINESS. Decoration Day Remarks: Overall feedback was great and the especially feedback for the speaker was positive. Hot weather was a frequent comment. Suggestions included bring the banner to hang for visibility for next year. Only about half of the people present signed in with the book. Move sign in table closer to event after it starts. Place donation jars at food table. Advertisement suggestion: "Under the Trees at I.O.O.F Cemetery" 6.NEW BUSINESS AND COMMITTEE REPORTS. Increasing Visibility: Discussion was held about increasing visibility and awareness of the Westlake Historical Preservation Society to the Town of Westlake Residents. Ideas included: Flyer provided for Newcomer Basket and Dinner, Historical Marker Scavenger Hunt, Greenhorn(Acorn) Scholarship Fund given to Westlake Academy students, Create and place a Time capsule in association with WA, After school program focus group to brainstorm with Town Council. Many of the ideas presented came from the Coffee with the Mayor Meeting with Carol Langdon.. Constitution Day: Contact William Covington and plan for it in Aug Historical Marker: No discussion Social Media: No discussion Upcoming Expenses: Cost to purchase our own PA system; it was suggested we might need about 3-4 thousand dollars and we may be able to contact Fidelity to see about a donation. We could look at buying a storage building, shelving and storage tubs to be housed at the Thornton property. Veteran's Day: We decided to hold a special Veteran's Day event on Sunday 5:00 p.m. November 11". Guest speakers Jerry Stewart and John Spahr have confirmed the date. 7. ADJOURNMENT. President Thornton asked for a motion to adjourn the meeting. MOTION: Member Miller made a motion to adjourn the meeting. Member White seconded the motion. The motion carried. President Thornton adjourned the meeting at 8:20 P.M. The next scheduled meeting of the Westlake Historical Preservation Society Board will be Tuesday,August 7, 2018 at 6:30 PM in the Council Chambers of Westlake.
