HomeMy WebLinkAbout03-06-18 WHPS Min I J� MINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY March 6, 2018 Stone House 13101 Roanoke Road Westlake,Texas 76262 PRESENT: President Stephen Thornton, Becky Fisher,Tom Miller, Kim Morris, Paula Thornton, and Daniel Zipperlen ABSENT: Trish Rapp and Jon White GUEST: Helen Wilkinson 1. CALL TO ORDER. President Thornton called the meeting to order at 6:46 P.M. 2. REVIEW AND APPROVE MINUTES OF THE WHPS MEETING HELD ON FEBRUARY 6,2018. Member Thornton read the minutes. MOTION: Member Morris made a motion to approve the minutes. Member Miller seconded the motion. The motion carried. 3. TREASURER'S REPORT. Member Morris met with Melinda Brown to discuss the financial statement for WHPS. Copies of the Statement of Activities as prepared by the Town were distributed. The budget for 2019 will be set soon and Member Morris will review our current statements with WHPS board members to prepare the budget. Melinda Brown requested that when we approve expenditures or hire people that we obtain a receipt and have the Town pay them directly rather than reimbursing WHPS board members. Member Thornton expressed concerns regarding the procedure suggested by the Town for expenditures. Obtaining a receipt before expenses are incurred is problematic, i.e.food and supply purchases for events, as well as, payment of musicians. Member Morris suggested at the next meeting we give estimated expenses and revenues for each category. President Thornton suggested we consider finding a sponsor for WHPS. WHPS 3/6/18 4. OLD BUSINESS. Members Reception: Member Thornton felt Roxann Taylor's home was a wonderful venue although the attendance was very small. 5. NEW BUSINESS AND COMMITTEE REPORTS. Membership Report: Several members renewed their memberships totaling$125. Historical Marker: President Thornton compiled significant information on Plascido,The Old Rock House. He distributed copies of his research to the WHPS board members. As further information is continuing to come in,the decision was made to postpone the Marker Dedication Day. Motion: Member Zipperlen made a motion to move Marker Dedication Day to May 19, 2018. Member Fisher seconded the motion. The motion carried. Decoration Day: President Thornton and Member Zipperlen met with Troy Meyer to plan Decoration Day. Member Zipperlen will supervise internal parking for those who are loading and unloading so as to not clutter the area. President Thornton and Members Zipperlen and Miller will build the stage a week before the event. President Thornton suggested WHPS purchase our own flags and flagpoles so they can also be set up a week ahead. Member Zipperlen will research costs for the flags and flagpoles. Members Rapp and Thornton will prepare an article for Simply Westlake. Ginger Awtry will announce the event on the Westlake Wire and Member Morris will make the event known at Westlake Academy. The decision was made to not place an ad in the Ft. Worth Star Telegram due to a lack of response. Member Fisher suggested we acknowledge merchants who allow us to place a supply of poppies and a collection jar in their businesses. Guest Helen Wilkinson shared that she has seen certificates given to businesses in appreciation of their participation. The board agreed this was a good idea and will give it further consideration. Two of the four trees planted last year for Decoration Day are still living. Due to lack of water and difficulty of planting at the cemetery,the decision was made to plant trees in a park setting with irrigation. Member Zipperlen suggested we discuss this idea with Troy Meyer to be included in the Town's master landscaping plan. Member Miller will meet with Troy Meyer to determine how we can participate. WHPS 3/6/18 7. ADJOURNMENT: President Thornton asked for a motion to adjourn the meeting. MOTION: Member Fisher made a motion to adjourn the meeting. Member Miller seconded the motion. The motion carried. President Thornton adjourned the meeting at 8:07 P.M. The next scheduled meeting of the Westlake Historical Preservation Society Board will be Tuesday, May 1, 2018, at 6:30 PM at the Council Chambers, 1500 Solana Blvd., Building 7, Suite 7100, Westlake,Texas 76262.
