HomeMy WebLinkAbout10-04-17 WHPS Min MINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY October 4,2017 Council Chamber 1500 Solana Blvd., Building 7, Suite 7100 W ESTLAKE,TX 76262 PRESENT: President Stephen Thornton, Becky Fisher,Tom Miller, Paula Thornton,Jon White and Daniel Zipperlen ABSENT: Trish Rapp GUEST: Jarrod Greenwood 1. CALL TO ORDER. President Thornton called the meeting to order at 6:33 P.M. 2. REVIEW AND APPROVE MINUTES OF THE WHPS MEETING HELD ON SEPTEMBER 11,2017. Member Thornton read the minutes. President Thornton asked for a motion to approve. MOTION: Member Miller made a motion to approve the minutes. Member White seconded the motion. The motion carried. 3. TREASURER'S REPORT. President Thornton distributed the Treasurer's Report from the Town of Westlake. 4. OLD BUSINESS. Constitution Day: President Thornton asked for feedback from the board on the Constitution Day event. Members Fisher and White were pleasantly surprised by the number of people who attended. Member Thornton felt that holding it on Saturday evening allowed for more children and families to attend. Member Thornton thought the setting was lovely. Member Miller expressed his appreciation for the speaker, William Covington, and the way he interacted with the guests. Member Fisher asked if Mr. Covington was given any payment for his speaking and artifacts display. President Thornton said Mr. Covington had not requested a fee, but would probably appreciate it. Discussion was held on his speech, his artifacts, distance traveled and willingness to engage guests as well as the fact that he stayed to help load items. Member White made a motion to give a $150 to William Covington. A second was not received. More discussion ensued related to the amount of effort he put forth and our hope to have him speak at Decoration Day in May of 2018. MOTION: Member Zipperlen made a motion to pay$200 to William Covington for Constitution Day. Member Fisher seconded. The motion carried. MOTION: Member Thornton made a motion to pay$200 to William Covington for Decoration Day 2018 if he agrees to speak. Member Miller seconded. The motion carried. President Thornton asked for suggestions to improve future Constitution Day events. Member Fisher suggested we have a trash can, more tables and workers for the children's activities and patriotic background music during event. President Thornton also recommended members arrive an hour before the event instead of just 30 minutes ahead. 5. NEW BUSINESS AND COMMITTEE REPORTS. Membership Report: No change in Membership. WHPS Website&Social Media: Member Zipperlen will have two boosts on Facebook and talk with Jon Sasser to determine what may still need to be done to promote the Classic Car Show. Simply Westlake: The magazine contained a wonderful full-page article written by Trish Rapp about the Classic Car Show. Westlake Classic Car Show: MOTION: Member Zipperlen made a motion to approve two$100 boosts on Facebook. Member Miller seconded. The motion carried. Jarrod Greenwood distributed a WHPS Car Show Day Assignment sheet listing jobs WHPS will perform for the car show. He went through a detailed slide presentation with a map of the Car Show grounds. He explained the new online registration process which also allows for online payment. Other details of the event such as parking, sign placement, Kids' Corral and various jobs were discussed. See attached assignment sheet for specifics. Jarrod Greenwood also asked WHPS board members to distribute to local businesses the Westlake Classic Car Show fliers he had printed for display or handouts. Items for display at the WHPS table for the car show should include membership forms, books, and a television playing videos of past WHPS events. Member Fisher suggested we have the WHPS informational trifold printed for distribution. Member Thornton suggested that Member Rapp would be able to have these printed. MOTION: Member Zipperlen made a motion to allocate up to$60 for the printing of the WHPS trifold. Member Miller seconded. The motion carried. Future Ideas and Purchases: Member Zipperlen mentioned the battery and charger for the video camera are not working. Discussion was held on whether to purchase a battery for the third time or to buy a new camera. MOTION: Member White made a motion for up to$50 to be used to purchase a new camera battery and charger. Member Zipperlen seconded. The motion carried. MOTION: Member Fisher made a motion for up to$300 toward the purchase of a new video camera if the new battery and charger do not work. The motion carried. MOTION: Member Zipperlen made a motion for the purchase of three 6-foot tables not to exceed $250. Member White seconded. The motion carried. MOTION: Member Miller made a motion for the purchase of a WHPS banner not to exceed $200. Member White seconded. The motion carried. MOTION: Member Zipperlen made a motion for the purchase of a canopy with zippered sides not to exceed $300. Member Miller seconded. The motion carried. 6. ADJOURNMENT: President Thornton asked for a motion to adjourn the meeting. MOTION: Member White made a motion to adjourn the meeting. Member Miller seconded the motion. The motion carried. President Thornton adjourned the meeting at 8:28 P.M. The next scheduled meeting of the Westlake Historical Preservation Society Board will be Tuesday, November 7, 2017,at 6:30 PM at the Council Chambers, 1500 Solana Blvd, Building 7, Suite 7100,Westlake,Texas 76262.
