HomeMy WebLinkAbout01-11-18 WHPS Min 1 J MINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY January 11,2018 Council Chamber 1500 Solana Blvd., Building 7,Suite 7100 Westlake,Texas 76262 PRESENT: President Stephen Thornton, Becky Fisher,Tom Miller,Trish Rapp, Paula Thornton,Jon White and Daniel Zipperlen GUESTS: Ginger Awtry,Jarrod Greenwood,Troy Meyer, Carol Whitmarsh and Helen Wilkinson 1. CALL TO ORDER. President Thornton called the meeting to order at 6:45 P.M. 2. REVIEW AND APPROVE MINUTES OF THE WHPS MEETING HELD ON DECEMBER 5, 2017. Member Thornton read the minutes. MOTION: Member Zipperlen made a motion to approve the minutes with corrections. Member Miller seconded the motion. The motion carried. 3. TREASURER'S REPORT. No Treasurer's Report 4. CLASSIC CAR SHOW. Jarrod Greenwood distributed a list of the businesses who sponsored the Classic Car Show. He also provided a list of the Registrations and Net Revenue. This year resulted in a $267 loss. Some of the additional expenditures this year were for upgraded trophies totaling$1,771. An additional 20 yard signs were purchased for the car show and other Westlake events. Ten of the 20 signs were used at the Car Show.A photographer was paid $450 for the event.The Kids' Korral was planned with the idea of 50 kids participating, however,only 10 children purchased pine cars. This leaves us with 35 car kits for future events. Troy Meyer will promote the Pine Car Derby before the car show to allow for the cars to be made in advance. It was suggested the derby be publicized through the Westlake Wire and Westlake Academy. For$20 the children received a pine car kit and a tee-shirt, although this did not cover our cost. The year 2017 is printed on the kids' shirts so they cannot be used for future car shows. Of the $500 spent on the kids'shirts, Primrose School donated$300 to sponsor the event. Permanent volunteer shirts for future events was discussed once the logo for the Town of Westlake has been finalized. The firemen were the biggest hit of the Kids' Korral. The fire truck and the outgoing personalities of the firemen grabbed the kids' attention. Being able to help hold the fire hose while it sprayed water was very exciting for the children.The firemen also helped build the six- lane Pine Car Derby Track when our supplier was not able to provide the track due to the threat of rain. Jarrod Greenwood is preparing a data base of participants from the first Classic Car Show in 2011 through 2017. He plans to email each participant to find out their likes and dislikes regarding the car show. The participants have told him that they like the fact our car show is not a circus or a flea market environment. Jarrod Greenwood discussed increasing the entrance fee to$25 and having same-day registrants pay more.The question was raised whether car show sponsors should be expanded to include non-car related companies.Jarrod Greenwood may ask in his questionnaire whether participants would be willing to pay a higher entrance fee to prevent outside vendors. There were 40 new registrants this year which keeps a good rotation of cars from year to year. The 2018 car show will be held at the Sam School location, but future events may be held at the parking area of Terrace Complex. Logistics need to be discussed regarding the fun run that is scheduled for the same date as the car show. Member Fisher suggested more signage for participants to locate the entrance and for guests to know about parking along the street. 5. NEW BUSINESS AND COMMITTEE REPORTS. Membership Report: No change in membership. Members'Reception: Member Thornton said Roxann Taylor has offered to hold the reception at her home. She is available to hold the reception on February 15. Members Thornton, Fisher and Rapp will be the committee for this event and will gather to address the invitations. Helen Wilkinson has agreed to be a volunteer committee member. MOTION: Member Zipperlen made a motion to approve up to$500 for expenses relating to the Members' Reception. Member Rapp seconded the motion. The motion carried. Historical Marker: President Thornton would like to have a task force for this project. Research needs to be done for the Stagecoach Stop and the First Stone House built in Westlake. Member Miller suggested l we contact local universities with archeology departments that might be interested in performing the research. Member Zipperlen offered to be on the task force and to help with the research. The dedication for the historical marker is set for Saturday,April 14 at 2 pm. Buttermilk Junction may perform at the dedication. WHPS Website&Social Media: A facebook post is not necessary for the Members' Reception since an invitation letter will be sent to members. Simply Westlake: Member Rapp mentioned it would be helpful to know town events ahead of time to coordinate her magazine articles. Future Ideas and Purchases: Research on items already approved is continuing. President Thornton suggested we have a professional prepare our trifold. Research will be done to determine the cost. Member Thornton would like the WHPS trifold to be available for the Members' Reception. 6. ADJOURNMENT: President Thornton asked for a motion to adjourn the meeting. MOTION: Member Miller made a motion to adjourn the meeting. Member White seconded the motion. The motion carried. President Thornton adjourned the meeting at 8:23 P.M. The next scheduled meeting of the Westlake Historical Preservation Society Board will be Tuesday, February 6, 2018, at 6:30 PM at the Council Chambers, 1500 Solana Blvd., Building 7, Suite 7100, Westlake,Texas 76262.
