HomeMy WebLinkAbout03-07-17 WHPS Min MINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY March 7,2017 Council Chambers for Town of Westlake 1301 Solana Blvd.,Building 4,Suite 4202 Westlake,Texas 76262 PRESENT: President Stephen Thornton, Becky Fisher,Tom Miller,Trish Rapp,Jon White and Daniel Zipperlen ABSENT: Wanda Brewster and Paula Thornton 1. CALL TO ORDER. President Thornton called the meeting to order at 7:06 P.M. 2. REVIEW AND APPROVE MINUTES OF THE WHPS MEETING HELD ON February 7,2017. Member Fisher read the minutes. President Thornton asked for a motion to approve. MOTION: Member White made a motion to approve the minutes. Member Miller seconded the motion. The motion carried. 3. TREASURER'S REPORT Member Brewster was absent but sent in via email the City of Westlake's Revenue and Expense Reports for WHPS, as well as, her Treasurer's Report showing an income of$805 and expenses of $919 so expenses exceeded income by$114. 4. OLD BUSINESS: Members'Reception: The board agreed the reception was a great success and was less expensive than in years past when it was held at other venues. The harpist created an elegant atmosphere. The awards given to Bert Schultz and Jarrod Greenwood were truly appreciated by the 4 recipients. President Thornton would like for us to have a photographer to document similar - WHPS events in the future. The title of the event may have made non-members feel excluded. Perhaps a change of title might make others feel more welcome. To improve for next year,the suggestion was made to send the invitations out earlier and then follow up with an email reminder closer to the date of the reception. MOTION: Member Miller made a motion to approve the expenditure of$200 for the awards given at the Members' Reception. Member White seconded the motion. The motion carried. S. NEW BUSINESS AND COMMITTEE REPORTS. WHPS Trifold: Member Rapp showed two different flyers and a trifold she created explaining the purpose and events of WHPS. They were very professional and informative. Member Rapp requested from President Thornton a list of which WHPS events to be included,the specific type of information he would like shown for each due to the limited space of the trifold. Membership Report: Member Brewster was absent, but sent in via email the WHPS Membership Report showing new members and those renewing their membership. Historical Marker Dedication: President Thornton plans to meet with Charlene and Don Gardner whose property would be the ideal location for the celebration. Board members need to volunteer for set up of chairs,food, wine and beverages. Member Rapp suggested that we have a WHPS Events Manual with a list of requirements and duties for each event and contact information for the companies we use. The board needs a checklist for each event and two-months lead time before each event. The suggestion was well received by board members. President Thornton suggested WHPS hire a barbershop quartet for the dedication. MOTION: Member Miller made a motion to approve the expenditure of$100 for the barbershop quartet for the Historical Marker Dedication. Member Rapp seconded the motion. The motion carried. Decoration Day: President Thornton has located a history teacher, Bill Covington,who will discuss whichever aspect of history in which we are interested and will also dress in the clothing from the appropriate period. The Revolutionary War era was suggested. There was discussion of donating$100 to Patriot Paws in honor of veterans. MOTION: Member Miller made a motion to approve the donation of$100 to Patriot Paws. Member White seconded the motion. The motion carried. s i Member Miller requested a list of the veterans buried in the I.O.O.F.cemetery to facilitate the placing of the flags for Decoration Day. WHPS Website&Social Media: Member Zipperlen would like to post more advertising online for Decoration Day. He suggested two$50 boost for Decoration Day which will reach approximately 10,000 people in our area. MOTION: Member Zipperlen made a motion to approve$100 for the promotion of Decoration Day and$50 for promoting Marker Dedication Events. Member Miller seconded the motion. The motion carried. Simply Westlake: Member Rapp submitted a column to Diane Raney for publication in Simply Westlake entitled "Did you Know?"for the April edition. Future Ideas and Purchases: None at this time. 7. ADJOURNMENT: President Thornton asked for a motion to adjourn the meeting. MOTION: Member Fisher made a motion to adjourn the meeting. Member Miller seconded the motion. The motion carried. President Thornton adjourned the meeting at 8:45 P.M. The next scheduled meeting of the Westlake Historical Preservation Society Board will be Tuesday April 18, 2017 at 7:00 PM at the Council Chambers for the Town of Westlake.
