HomeMy WebLinkAbout12-04-07 WHPS MinMINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY BOARD MEETING DECEMBER 4, 2007 PRESENT: President Kelly Bradley and Board Members Allen Heath, Stephen Thornton, Jack Wiesman, Teresa Walton, and Sharon Sanden ABSENT: Kristi Layton, Michelle Corson and Ruby Held OTHERS PRESENT: Joe Hennig, Interim Town Manager, Joyce Roach, Ed Williams and Wade Grout from The Donning Company, Publishers and Mayor Scott Bradley 1. CALL TO ORDER President Bradley called the meeting to order at 4:15 p.m. 2. TREASURER'S REPORT President Bradley indicated that no Treasurer's Report would be presented as Kristi Layton is unable to attend. Treasurer's Report to be read at next meeting. 3. APPROVAL OF MINUTES President Bradley indicated that no Minutes would be presented as Michelle Corson is unable to attend. Minutes to be read at next meeting. 4. OLD BUSINESS MOTION: Member Thornton made a motion that the WHPS reimburse Allen Heath for equipment purchases of the phones, internet router, cables used in setting up the WHPS History museum in the amount of $117.35 for work on phones and computers etc. Member Walton seconded the motion. The motion carried unanimously. 5. PRESIDENT'S REPORT President Bradley introduced Ed Williams and Wade Grout from The Donning Company, Publishers for the 50th Anniversary History book for the Town of Westlake Mr. Williams said The Donning Company has been in business for 35 plus years and has published 1700 plus titles. WHPS Meeting Page 2 of 2 Mr. Williams said that 3 things control the price of the book. 1. Size of the Publication 2. Quantity of books 3. Color photography and how many pages Westlake has chosen quality upgrades and he brought 3 different shapes of books to choose from being portrait, landscape and square. Many questions were asked of Mr. Williams and considerable discussion took place. He also pointed out that we get 4 looks before the book goes to print. The prices are from submitted prices of August of 2007. Mr. Williams also pointed out that a good presale is 20 — 25 % of the order and if we presale more ahead of printing we can order more books. MOTION: Allen Heath moved to purchase from The Donning Company a total of 1250 history books to be printed on 9.5" x 9.5' paper, at a cost not to exceed $42.20 per book, and to bind 100 of these in upgraded bonded leather at an upcharge of $19.53 each. Sharon Sanden seconded the motion. After discussion, the motion passed with 5 voting for. Jack Wiesman abstained with a statement that he approved of the purchase, but preferred the 8.5" x 11" size over the 9.5" x 9.5" size. We also discussed the overrun/under run charges/credits? On the 1250 books, that could be an extra 93 that we get to pay for ... or almost another $4,000 at the end when we get the bill at the end. We will see when Kelly gets the contract if he lowered the percentage or left it at the 7.5%. It was not in the motion as overrun/under runs are expected in publishing. 6. ADJOURNMENT The next meeting will be Monday, January 7th at 6 p.m. MOTION: Member Walton motioned to adjourn. Member Bradley seconded and the meeting was adjourned at 6:00 p.m.
