HomeMy WebLinkAbout10-27-08 WHPS MinMINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY BOARD MEETING October 27, 2008 PRESENT: President Sharon Sanden, Board Members: Teresa Walton, Lisa Councilman, Knsti Layton, Stephen Thornton and Jack Wiesman ASSENT: Board Members Kelly Bradley, Michelle Corson, Ruby Held OTHERS PRESENT: Judy Thomason 1. CALL TO ORDER President Sanden called the meeting to order at 10:15 am. 2. CONSIDER APPROVAL OF MINUTES FROM AUGUST 28, 2008 MEETING Member Councilman asked about the barriers to obtaining 501(c)3 status, and suggested this be looked into further. MOTION: Member Thornton made a motion to approve the meeting minutes. Member Walton seconded, the motion carried, and the minutes were approved. 3. CONSIDER APPROVAL OF MINUTES FROM SEPTEMBER 25, 2008 MEETING MOTION: Member Walton made a motion to approve the meeting minutes. Member Wiesman seconded, the motion carried, and the minutes were approved. 1 p Westlake Historical Preservation Society October 27, 2008 4. TREASURER'S REPORT Page 2 of 3 Member Layton presented the Treasurer's Report, which indicated a loss of $35,573.27 on the financial statement, but a balance of $3,478.49 on deposit. Member Layton discussed the approved $30K advance to be used primarily for the history books, and stated that she needed to check with the Town to find out how exactly that allocation would work. Member Councilman suggested that we devise a plan for repayment of the allocation from the sale of the books. MOTION: Member Councilman made a motion to approve the Treasurer's Report. Member Walton seconded, the motion carried, and the report was approved. 5. ANNUAL MEETING UPDATE Member Layton updated everyone on the meeting plans. Marriott is to cater, with wine donated by Diegos and Classic Cafe. Member Thornton arranged the dulcimer to play at the meeting. Member Layton will have a check ready to give him the night of the meeting. Invitations will go out by end of the week. Member Thornton suggested having the museum open before and/or after the meeting. President Sanden stated that she did receive everyone's input for possible reward recipients. Judy Thomason volunteered to work the annual meeting registration table. 5. HISTORY BOOK UPDATE Member Councilman reported that one book was sold at WLA Grandparents' day. Three were sold at Arbor Day. Member Councilman would like to discuss the cover, and whether or not a final Decision was made on the seal. Terra Bella would like to have their 28 books embossed, but this would be an additional cost of $350. Member Councilman posed the question as to whether or not the Board wants to pay the $350 since Paul Spain is purchasing so many, and due to his generous sponsorship, or whether or not to go back to Terra Bella and tell them we can have them embossed, but at an additional cost. Westlake Historical Preservation Society Page 3 of 3 October 27, 2008c�b� Member Councilman decided to go ahead and contactCinn- Terra Bella, and discuss that the cost is too great for a non profit organization, and find out if they would be willing to pay the additional cost. Member Councilman brought up the Marriott and the possibility of them purchasing fewer books, but purchasing the $100 books instead, since there wouldn't be as many. Member Councilman told us that she discussed the sale of books with the WLA historians as a fundraiser. 6. PRESIDENT'S REPORT President Sanden reported on Member Sanden, Thornton and Bradley's trip to the Denton Museum. Forms were obtained from the museum to be used in procuring items for the museum. The forms were approved by the Town. The subject of "gifting" versus donating was discussed. The Denton County Museum prefers gifting, because of the liability. The general consensus from the Board is.to also encourage gifting. Member Thornton gave a brief report on the Denton County Museum (see attached). Member Sanden suggested eventually encasing the quilt in some kind of acrylic case. Member Councilman suggested contacting Phil Small, a local Westlake resident who does this sort of work. 7. ADJOURNMENT MOTION; Member Walton motioned to adjourn. Member Sanden seconded, the motion carried, and the meeting adjourned at 12:15 p.m.
