HomeMy WebLinkAbout09-25-08 WHPS MinMINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY BOARD MEETING SEPTEMBER 25, 2008 PRESENT: President Sharon Sanden, Board Members: Kelly Bradley, Teresa Walton, Lisa Councilman, Kristi Layton, Jack Weisman, and Michelle Corson. ABSENT: Board Members Stephen Thornton, Ruby Heid OTHERS PRESENT: Judy Thomason 1. CALL TO ORDER President Sanden called the meeting to order at 9:35 a.m. 2. TREASURER'S REPORT Member Layton presented the Treasurer's Report, which indicated a loss of $31,510.70 on the financial statement, but a balance of $4,241.06 on deposit. She informed the board that the Board of Aldermen had granted the WHPS request for funding of $30,000 for the book and that they wanted a presentation on October 611 of background/update on the book. A second installment to the publisher of $20,000 was made 9112. Member Bradley presented a check from Commissioner Fickes for $200 and requested that WHPS give him a book as a thank you. MOTION: Member Walton made a motion to approve the Treasurer's Report. Member Weisman seconded, the motion carried, and the report was approved. 3. CONSIDER APPROVAL OF MINUTES FROM AUGUST 28, 2008 MEETING The minutes were not prepared yet for review. Westlake Historical Preservation Society Page 2 of 3 September 25, 2008 CMENKINIZ :\ w► 1 D_aY Y W102111 917_1 Y Member Layton will get a catering quote from Marriott for a wine and cheese type of service and will put together a meeting budget to present to Paul Spain for sponsorship. The event will be in the Junior Ballroom of the Marriott and we will see if we can get Diego's and Classic Caf6 to donate wine again. The meeting will be November 13'11 at 6:00. Save the date cards/notices will need to go out next week. President Sanden presented a list of the nominees for the awards and asked for all board members to present their final vote so that she can announce the award recipients. 5. HISTORY BOOK UPDATE Member Councilman suggested we consider embossing the lower level books for Marriott to entice them to purchase one for each room. She will investigate with Donning and get back with us. Member Layton says that Marriott is doing their budgets now, so it would be good to get in front of them with a pitch as soon as possible. It is still unclear when we will have the books. Member Councilman says that Joyce Roach will do the presentation for the BOA in October and Member Layton will accompany to answer questions about cost. A suggestion was made to do the first reading of the book with bread pudding and cider at the school library, with subsequent readings in people's homes. 6. PRESIDENT'S REPORT President Sanden indicated that Member Thornton would like to get some help on the museum committee and asked if Member Weisman could oversee placques for the museum. The museum committee will meet at 6:00 on Tuesday at the museum. President Sanden indicated that Kelly Bradley will remain a board member (as ex - president) and that Heidi Kloempkin will go on the board as representative of the Junior Historians. Arbor Day is October I Vh from 10 — 3 and we will need volunteers and book order takers. May need order takers for Grandparents Day at Westlake Academy. A membership drive will get underway in January and we should give thought to pricing and new ideas for memberships. We have an opportunity to purchase a church/wedding chapel and a barn in Trophy Club and Roanoke to consider. Westlake Historical Preservation Society Page 3 of 3 September 25, 2008 7. ADJOURNMENT MOTION: Member Corson motioned to adjourn. Member Layton seconded, the motion carried, and the meeting adjourned at 10:40 a.m.
