AD HOC MEETING

1. CONSIDER 2009 BUDGET
The committee discussed the proposed budget for 2009, including the following
line items:
• Keep phone in museum and budget a cost of $70 per month.
• Include some marketing dollars for the book
• Eliminate Judy's costs of $2,900 per year (she will work on a volunteer basis).
• Include an allowance of $2,000 to $4,000 for Decoration Day and Annual
Meeting
• Suggest very conservative estimate on book revenues
2. CONSIDER REQUEST FOR FUNDING FROM TOWN
After discussion of the budget, a review was made of what has been paid to
Donning Company to -date and what will be due to them for the balance of the
book costs. An initial deposit was made in December 2007 of $13,000. The
balance due is $45,923 (excluding shipping, which is projected at less than
$1,000). The current cash balance is $24,455. The committee reached the
following conclusions:

• Pay Donning a second advance of $20,000.
• Request a $35,000 advance from the Town.
• Offer a repayment plan to the Town based on book sales of 80% to 90%.
• Present to the Town at the budget workshop on September 8, 2008.
