HomeMy WebLinkAbout06-19-08 WHPS MinMINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY BOARD MEETING JUNE 19, 2008 PRESENT: President Kelly Bradley, Board Members: Sharon Sanden, Teresa Walton, Lisa Councilman, Kristi Layton, Jack Weisman, Stephen Thornton, Ruby Held, and Michelle Corson. ABSENT: Board Member Allen Heath, Heidi Kloempkin OTHERS PRESENT: Joyce Roach, Troy Meyer 1. CALL TO ORDER President Bradley called the meeting to order at 10:10 a.m. 2. TREASURER'S REPORT Member Layton presented the Treasurer's Report, which indicated a loss of $13,303.23 on the financial statement, but a balance of $22,748.53 on deposit. She indicated that she planned to delete the notation of "restricted funds" on the Treasurer's Report because the Board had authorized that no funds would be restricted. MOTION: Member Thornton made a motion to approve the Treasurer's Report. Member Walton seconded, the motion carried, and the report was approved. 3. CONSIDER APPROVAL OF MINUTES FROM MAY 22, 2008 MEETING President Bradley indicated that no minutes would be presented due to Judy Thomason's absence. DECORATION DAY RECAP Everyone congratulated Member Walton on the terrific job she did chairing the event and she agreed to serve again next year. She indicated she would like a full history of Decoration Day from President Bradley and would like to get news articles and any remaining receipts for the file. It was addressed that some guests did not make it to the event because of the "Road Closed" sign on Ottinger and the Board agreed that we need to have a sign that says "Decoration Day Traffic Only" or something so that it is not misleading. Member Thornton read an e-mail from someone asking if we'd like to receive a donated tree and she will refer to Troy. All acknowledged that the Flag Ceremony was moving and that we should keep this element every year. Troy indicated that some people felt having the event at the cemetery (walking on graves) was disrespectful and dishonored the dead and he suggested we consider moving the event across the street next year. Mr. Weisman departed at 10:40. 5. HISTORY BOOK UPDATE Member Councilman indicated frustration with the publisher of the book on getting marketing materials and a mock-up book to help with sales. Joyce indicated she had cut down the book, as requested by the publisher, but had still not received the second version. b. MUSEUM UPDATE Member Layton indicated that the museum space can stay at Solana for a bit longer. Member Thornton asked to have a meeting at some point to discuss management of the museum. 7. WELCOME CENTER President Bradley indicated that all organizations in Westlake needed to get in touch with Tom Brymer to express a desire for space for a welcome center. President Bradley suggested that we offer historically -oriented trips. 8. BOARD TERMS President Bradley indicated that Members Heath, Sanden and Bradley have terms expiring at this time and that she intends to retire. Member Sanden indicated she would stay on and would be willing to assume the role of President if no others sought it. President Bradley indicated that Member Heath intends to retire. Member Held also told the board that she would like to retire soon.. Westlake Historical Preservation Society June 19, 2008 Page 3 of 3 MOTION: Member Walton made a motion to accept moving Member Sanden to President. Member Corson seconded. The motion carried. unanimously. 9. ADJOURNMENT MOTION: Member Sanden motioned to adjourn. Member Walton seconded, the motion carried, and the meeting adjourned at 11:20 a.m.
