Board Meeting
Westlake History Museum
June 8, 2009
Members Present: Jack Wiesman, Stephan Thornton, Kristi Layton, Teresa Walton,
Sharon Sanden, Heidi Kloempken, Kelly Bradley
Members Absent: Ruby Held, Lisa Councilman
Non — Members present: Allan Werst, Troy Meyer, Kim Sutter
1. Call to Order
a. President Sanden called the meeting to order at 10:07 am
2. Consider approval of minutes from April 6, 2009
i. MOTION: Member Thornton motioned to pass minutes, second
by Member Layton. Motion passed.
3. Treasurer's Report
a. Treasurer Layton distributed a breakdown of finances included sales of
books and literature (which might change), memberships, expenses related
to book, cleaning costs (donation).
b. The final payment of the book will not be made until the more expensive
books are fixed.
c. Questions — can the office and museum expenses be separated?
i. Yes and will be on the next one.
4. Decoration Day —discussion
a. Submission of invoices so amounts on final list of expenses and
sponsorships may change.
b. Texas Flag not bought yet. Mr. Werst will donate a flag to WHPS if the
amount donated to the scouts and Venture Crew 1872 is increased. The
donation will go with the Thank You letters.
i. MOTION — Member Walton motioned to authorize $100 donated
to Venture Crew 1872 and Boy Scout troop 32 for their work on
Decoration Day. Member Layton second. Motion passed.
c. Mr. Werst is looking into where the money goes if we donate any extra to
the VFW.
d. Ice Cream — only 5 half gallons needed, and make sure it is distributed.
Also, buy ice cream scoops to be used every year. President Sanden will
take care of that.
e. Sign -in — success but hot. Use a tent from Arbor Day and set up directly in
front of the gate.
f. Traffic went well.
g. Signs are present and accounted for. They will be kept in the museum
office.
h. If cannons are at next years event, warn everyone many times of loud
noise.

i. Parking worked well.
j. Mr. Werst had more suggestions:
i. More patriotic music
ii. Make the message of Decoration Day clearer. Is it just another
Memorial Celebration or a Family gathering? Should one person
be honored or everybody? In the past, one person has been
honored.
iii. Hot dogs were great but should be cooked longer..
iv. Use the Drum Corps from the school. Contact them early enough
so they can plan for availability.
v. Grow parade and decoration contest, possibly moving down the
hill.
vi. Rope off graves, especially Mitchell and Owens.
vii. Poppies — create more awareness and spread the location of
poppies. With hopefully more businesses next year (liquor store,
etc.) there will be more opportunities. Also, in the lobbies and
lunch rooms of Wells Fargo and Liberty.
viii. Bell tower, gazebo, or chapel in/near the cemetery. Allan has a bell
to be placed in one of these structures. Also, a repaired fence, gates
to make it "charming."
k. Start music at 6:00 so it does not "drag on".
1. Chair Walton turned over 2008 and 2009 Decoration Day information for
next years' chair.
President's Report - President Sanden handed out Thank You's for a very
successful Decoration Day.

iii. Ruby Held — been here since the beginning
iv. Teresa Walton — Decoration Day chair
b. Thank you for your commitment and service all those years.
Next meeting, something to think about — Member Thornton would like to
continue to grow the museum. He is looking into a computer system and ideas to
make the museum come to life. Junior Historians are ready to help set up,
catalogue, and work.
Adjournment - There being no further business to come before the Board,
President Sanden asked for motion to adjourn.
a. Motion: Member Kloempken moved to adjourn the meeting. Member
Walton seconded the motion. The motion carried unanimously at
11:37am.
