HomeMy WebLinkAbout02-22-08 WHPS MinMINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY BOARD MEETING FEBRUARY 22, 2008 PRESENT: President Kelly Bradley and Board Members Sharon Sanden, Stephen Thornton, Teresa Walton, Allen Heath, Kristi Layton,. Ruby held, Jack Wiesman, Michelle Corson, and Lisa Councilman, Teresa Walton ABSENT: None OTHERS PRESENT: Judy Thompson, Joyce Roach, Troy Meyer, Joe Hennig 1. CALL TO ORDER President Bradley called the meeting to order at 11:00 a.m. 2. TREASURER'S REPORT Member Layton presented the Treasurer's Report indicating an ending balance of $21,147.17, which reflected a complete usage of the First American Title donation for the History Book through a deposit paid to the Donning Company. MOTION: Member Sanden made a motion to approve the Treasurer's Report. Member Thornton seconded the motion and it carried unanimously. 3. CONSIDER APPROVAL OF MINUTES FROM: OCTOBER 16, 2007, NOVEMBER 8, 2007, AND JANUARY 17, 2008 MEETINGS Joyce Roach indicated a request to modify the January minutes to reflect that the proof of the history book will be sent to the editor, not the board. President Bradley asked that the minutes reflect that the creation of the Ad Hoc Oversight Committee is to address various issues of the WHPS, not just the history book. Westlake Historical Preservation Society Page 2 of 4 February 22, 2008 MOTION: Member Heath made a motion to approve the October minutes, which was seconded by Member Walton. The motion carried unanimously. MOTION: Member Thornton made a motion to approve the November minutes, which was seconded by Member Heath. The motion carried unanimously. MOTION: Member Corson made a motion to approve the January minutes as edited, which was seconded by Member Walton. The motion carried unanimously. 4. DICUSSION OF DECORATION DAY Troy Meyer asked the board to consider a Flag Retirement Ceremony as part of the Decoration Day activities. The board unanimously supported the idea. Member Heath will check on the availability of Chris Hutchinson to play Taps. Discussion ensued regarding the possibility of placing a sign at the cemetery acknowledging the donation of trees. President Bradley suggested we install one sign, rather than individual signs for each tree. President Bradley called for volunteers to chair the Decoration Day event and Member Walton agreed to serve with Joyce Roach, Sharon Sanden, Troy Meyer and Kelly Bradley as primary committee members. 5. REPORT ON WESTLAKE ACADEMY HISTORY DAY Heidi Kloempken, history teacher and head of the Junior Historians at Westlake Academy arrived at 11:45 and presented a report on History Day, a proj ect involving the 7th and 9th grade students. These students did various projects on the topic of conflict and compromise in history and Ms. Kloempken thanked Members Walton, Layton, Corson, Councilman, and President Bradley for judging the event. The regional competition will be held March 1St at UTA, the State competition will be held in Austin in May, and the National competition will be held in June at the University of Maryland. 6. HISTORY BOOK UPDATE President Bradley indicated that orders have been received for 65 books, for which payment has been received on 38. She called for volunteers to chair the History Book Marketing Campaign and Member Councilman offered to serve, with primary committee members being President Bradley and Members Sanden and Heath. Member Councilman suggested that we offer the very first book released, signed by Joyce Roach, as an auction item at Westlake Academy's Gallery Night event February 22nd. Recap - President Bradley presented a recap of all that has been accomplished since the WHPS was created, which includes fundraising of $78,000, expenses of $75,000, creation of the Pathfinder Historic Journal, creation of the Decoration Day event (which has occurred six times), the development of the History Book, creation of the Museum, establishment of an office for the WHPS, mentoring of the creation of the Junior Historians, and the establishment of a Society (with approximately 80 memberships sold each year). B. Oversight Committee — President Bradley asked Judy Thomason if she would like to leave the meeting, but she declined. Member Layton passed out a recommendation from the Oversight Committee about the creation of a staff position for WHPS. President Bradley asked Member Corson to read the minutes from the Oversight Committee meeting on February 11th. Those minutes were edited to reflect that Judy had been working on WHPS matters since January 18th, not February 4th. President Bradley asked for input from the board as to whether a position should be created and funded. Members Corson, Councilman, Layton, Weisman, Sanden and Walton offered support for the Oversight Committee's recommendation. Member Heath departed shortly before this conversation and was not present. Member Thornton expressed concern about spending money for this. Member Corson suggested that the Oversight Committee develop a financial sources and uses allocation strategy for WHPS, which President Bradley thought would be a good idea. Member Councilman posed the idea of having junior historians man the museum for community service credit. Several board members expressed opposition to the students being unsupervised. MOTION: Member Thornton made a motion, seconded by Member Sanden, acknowledging that Judy Thomason has already completed 73.5 hours of work on behalf of WHPS and has been paid at a rate of $17.00 per hour, that after her tenure with Texas Student Housing Corporation has expired, that WHPS employ her for 8 hours per week at a rate of $17.00 per hour, based on the description of her scope of work outlined in the proposal recommended by the Oversight Committee, through the end of the WHPS fiscal year. The motion carried unanimously. C. Keys to Museum — President Bradley indicated that the following individuals have keys to the museum currently: Judy Thomason, Troy Meyer, Kristi Layton, Kelly Bradley, and a spare key within the office. Member Thornton expressed a desire to keep tight control and monitoring of who has keys so that security can be maintained. Westlake Historical Preservation Society February 22, 2008 Page 4 of 4 D. Museum Subcommittee — President Bradley indicated that Member Wiesman and she had not yet been able to meet with Georgia Carroway, but that Judy Thomason had been in touch with her. A subcommittee for the museum was discussed and Member Thornton agreed to chair, with President Bradley and Members Sanden and Wiesman serving as primary members. Member Thornton and President Bradley will work with Brad Bradley to create a 501(c)3 for the museum and WHPS. E. Biographies — President Bradley indicated that the biographies submitted by residents for the History Book are very dated, having been completed two years ago. Member Corson agreed to contact those who had submitted biographies to see if they had changes they desired to make. S. ADJOURNMENT The next meeting is scheduled for March 27th at 6:00 p.m. MOTION: Member Sanden motioned to adjourn. Member Walton seconded, the motion carried, and the meeting adjourned at 1:55 p.m.
