HomeMy WebLinkAbout09-28-11 WHPS MinMINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY September 28, 2011 Westlake History Museum 3 Village Circle, Suite 104 PRESENT: President Bert Schultz, Kelly Bradley, Kristi Layton, and Karen Stoltenberg ABSENT: Stephen Thornton OTHERS PRESENT: Ginger Awtry and Megan Brady 1. CALL TO ORDER. President Bert Schultz called the meeting to order at 1:35 p.m. 2. REVIEW AND APPROVE MINUTES OF THE WHPS MEETING HELD ON AUGUST 29, 2011. President Schultz asked for a motion. MOTION: Member Layton made a motion to accept and approve the minutes from August 29, 2011, as previously read. Member Bradley seconded the motion. The motion carried. President Schultz read all the Action Items from the August 29, 2011 minutes. All had been accomplished except: a.) Members Layton and Stoltenberg will reconcile old and new membership lists. b.) President Schultz and Member Layton will meet with Deloitte about sponsorship, membership, history books, and displays. c.) Board Members need to forward any helpful contacts to Ginger Awtry. d.) Member Bradley will write a 150 word synopsis about Paigebrooke Fann for the Historical Marker plaque. e.) Member Layton will create and print the invitation for the Wine and Cheese Reception. f) All nomination and recommendations for awards given at the Wine and Cheese Reception need to be sent to Member Bradley. g.) President Schultz will write a paragraph about WHPS for the Westlake Wire. WHPS Minutes 09/28/2011 Nage 1 of 4 h.) All Board Members need to look at their schedule and let President Schultz know when they can work on the museum files. The Board decided that Member Stoltenberg would list the Action Items in the Minutes as well as in a separate list by email. 3. REVIEW AND APPROVE THE TREASURER'S REPORT Member Layton read the Treasurer's Report. There were several new memberships, car show entries, and car show sponsors. President Schultz asked for a motion. Motion: Member Bradley made a motion to approve the Treasurer's Report. Member Stoltenberg seconded the motion. The motion carried. 4. MEMBERSHIP REPORT Member Layton distributed a copy of the current membership fast. There were 4 new members. Member Bradley will forward Member Layton the Held's email address, and Member Stoltenberg will forward the Garabedian's email address. 5. 9/11 MEMORIAL SERVICE REPORT No report given, but President Schultz passed out the "The Times Register" article about the event. 6. LIVING HISTORY PRESENTATION REPORT President Schultz gave the report. Because Mr. Ventura gave extra credit to his students, they came to the presentation and the performance hall appeared 2/3 full. 7. FUTURE EVENTS UPDATE a) General Membership Meeting (Wine and Cheese Reception) Member Layton passed the Save the Date email that she composed, and she will also take care of the invitation. The Board decided the time should be from 7:00 to 8:30. President Schultz and Member Layton will put together the program, which will include a Power Point presentation, "Year in Review", and an annual report for guests to take home. Member Layton will send an email with the date for the meeting with the Marriott so other Board Members can come and give input. President Schultz will send an email out for helpers. The Board also discussed awards that are to be given at the Reception, and we decided that the awards would not distinguish whether one lived in Westlake or not. We decided that the awards to be given yearly are the Citizen of the Heart award and the Volunteer of the Year award. The Cross Timbers Award will be given occasionally, and the Pen and Sword and Junior Historian awards will be reconsidered in the future. President Schultz will be responsible for acquiring the awards for the Reception. WHPS Minutes 09/28/2011 Nage 2 of 4 b) Historic Marker Dedication Day The event will be held March 24, 2012 at 10.00 a.m. Member Bradley is going to write a 150 word synopsis for the plaque. c) Westlake Vintage Car Show President Schultz will send an email explaining his thoughts on the car show. 8. MUSEUM WORKSHOP DATE President Schultz reminded the Board to email him a date that each Board Member can come into the Museum to work on entering files into the computer. We discussed the possibility of each Board Member doing some work on their own at a time convenient for them. To get into the Museum, call security at 817430-0100, and make sure to mention Member Kristi Layton's name. 9. ADJOURNMENT President Schultz asked for a motion to adjourn the meeting. MOTION: Member Stoltenberg made a motion to adjourn the meeting. MemberLayton seconded the motion. The motion carried. President Schultz adjourned the meeting at 3:20 P.M.
