PRESENT: President Bert Schultz, Kelly Bradley, Kristi Layton, Karen Stoltenberg, and Stephen
Thornton
ABSENT: none
OTHERS PRESENT: Ginger Awtry and Megan Brady
1. CALL TO ORDER.
President Bert Schultz called the meeting to order at 10:15 a.m, The Board decided to have the
September meeting on Wednesday, September 28 at 1:30 p,m, However, meeting times will
revert back to the fourth Monday of the month at 1:30 p.m. after September.
2. REVIEW AND APPROVE MINUTES OF THE WHPS MEETING HELD ON JUNE 27,
2011 AND JULY 25, 2011.
Member Stoltenberg read the minutes. President Schultz asked for a motion,
MOTION: Member Thornton made a motion to approve the minutes from July 25, 2011.
Member Layton seconded the motion. The motion carried.
MOTION: Member Layton made a motion to approve the minutes from June 27, 2011.
Member Bradley seconded the motion. The motion carried.
3. REVIEW AND APPROVE THE TREASURER'S REPORT
Member Layton read the Treasurer's Report, the Record of Receipts, Membership Dues and the
Record of History Book Purchases, President Schultz asked for a motion.
Motion: Member Stoltenberg made a motion to approve the Treasurer's Report. Member
Bradley seconded the motion. The motion carried.

4. MEMBERSHIP REPORT
Member Layton distributed a copy of the current membership list. Member Bradley will
personally contact 4 of the members whose memberships have previously expired about
rejoining. Member Layton will email Member Bradley a copy of the membership mailout.
Member Stoltenberg and Member Layton will reconcile the new membership list with the old
membership list to make sure we are including everyone.
5. OATH OF OFFICE
Westlake Town Secretary, Kelly Edwards, administered the oath of office to Kelly Bradley.
6. PROPOSED MISSION STATEMENT
President Schultz proposed the following mission statement:
DISCOVER, PRESERVE AND PERPETUATE THE HISTORY OF WESTLAKE AND
THE CROSS TIMBERS AREA.
MOTION: Member Bradley made a motion to accept the mission statement as written. Member
Thornton seconded. The motion carried.
7. EVENT SCHEDULING AND UPDATE
a) Living History Presentation
President Schultz confirmed the date of Thursday, Sept. 22. He is having rehearsals with
Mr. Eastman. Ginger Awtry is trying to get with Susan MacFarland about promoting the
event and possibly doing an article on WHPS.
Ms. Awtry also updated us on her new promotion, Director of Communications, and she
will be streamlining communication between the town and school. She also let us know
that Amanda DeGan is the new assistant to the Town Manager, and she needs to know all
events as well.
Ms. Awtry would appreciate all Board members forwarding her any contacts they have
that she could use in her new position.
b) Historic Marker Dedication Day
The Board discussed and by consent agreed to have Paigebrooke Farm be the first
historic marker to be dedicated in the spring of 2012, March 24 10:00 a.m. The chimney
at the Brittan home will be the second in the fall of 2012. Member Bradley is going to
write 150 word synopsis for the plaque.
c) General Membership Meeting
Member Layton proposed we have the General Membership meeting at the Marriott
Solana. The Marriott agreed to pay for the room and the food, and we would pay for the
wine. The Board discussed and agreed to have a cash bar instead of paying for the wine.

The date is set for November 10 from 6:00 to 7:30. Karen Schultz agreed to help with
the planning. Member Layton will work on a "Save the Date" card and the invitation.
d) 9111 Memorial Program
Member Thornton presented his pian for the 9111 Memorial Program. President Schultz
is taking care of signs for the event. Member Stoltenberg and Megan Brady agreed to
distribute flyers to local businesses. Member Thornton asked all members to look for 24
x 36 inch pictures to display. Member Stoltenberg will email the art teachers to see if
they would be willing to have the students produce some art work for the event. Member
Thornton will work on the program and will email it ASAP to the Board and Ginger
Awtry.
e) Westlake Vintage Car Show
President Schultz is in charge of this event, and he will make sure that everything gets
done.
f) Museum Window Exhibits
President Schultz informed the Board that the next window exhibit is Native American
Indian pottery, Navajo weavings and original art works_ Ginger Awtry asked President
Schultz for 4 to 5 sentences summarizing the exhibit.
8. CHAIR APPOINTMENTS
President Schultz asked the Board to review the Chair appointments and send any comments to
him,
9. CORPORATE SPONSORSHIPS
President Schultz would like the Board to come up with a way to honor the platinum, gold, and
silver coporate sponsors of WHPS. President Schultz, Member Layton, and Ginger Awtry will
meet with Deloitte about sponsorship, membership, history books and displays.
10. ANNUAL AWARDS
Member Bradley is the Annual Awards chair. Please submit any recommendations and /or
nominations to her.
11. QUARTERLY NEWSLETTER
The Board decided by consent to submit WHPS information to the "Westlake Wire" in lieu of
having our own publication. Ginger Awtry informed us that the next issue will go out in mid
September. President Schultz will prepare a submission for WHPS.
12. WHPS FIELD TRIPS
The Board will discuss the possibility of having a WHPS field trip once a year. President Schultz
asked about the availability of the Westlake Academy buses. Ginger Awtry said that Ben
Nibarger would be the contact for the buses.

13. MUSEUM WORKSHOP
President Schultz would like to schedule another workshop in the fall. He suggested September
24, October 1, or October 8. All Board members should reply to President Schultz with their
availability, Board members should also let him know if they would prefer to work on a
weekday, on their own, inputting files.
14. ADJOURNMENT
President Schultz asked for a motion to adjourn the meeting.
MOTION: Member Layton made a motion to adjourn the meeting. Member Bradley seconded
the motion. The motion carried.
President Schultz adjourned the meeting at 3:04 P.M.
