HomeMy WebLinkAbout04-30-12 WHPS MinMINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY April 30, 2012 Westlake History Museum 3 Village Circle, Suite 104 PRESENT: President Bert Schultz, Jim Budarf, Karen Stoltenberg, Stephen Thornton ABSENT: Kelly Bradley, Megan Brady, and Kristi Layton OTHERS PRESENT: Ginger Awtry 1. CALL TO ORDER. President Schultz called the meeting to order at 1:52 P.M. 2. MEETING MINUTES AND ACTION ITEM LIST President Schultz asked for a motion. MOTION: Member Budarf made a motion to approve the minutes. Member Thornton seconded the motion. The motion carried. 3. TREASURER'S REPORT President Schultz passed out copies of the Treasurer's Report and pointed out that our revenue was doing well. We had $500 of additional sponsors for Decoration Day that were not included in the amount listed, for a total of $2000. There was also an additional $75 for 3 Pathfinder memberships, also not included in the report. There was a question about what the expenditures were for FY 02-03 and FY 04-05 that would make the expenses number so high. MEMBERSHIP REPORT We had 2 lifetime memberships for a total of $11.50 in membership dues to date. Member Layton will start on the membership drive. Ginger Awtry will put a notice in the Communique and on the Town emails about our membership drive. Member Budarf will also send Member Layton an email to get information for Trophy Club communications. S. COMMITTEE REPORTS a) Historical Marker Dedication Day It begins at 2:00 p.m. The Board discussed the impact that the construction will have on people attempting to get there. Ginger Awtry will send an email to the Town about the construction. Jared Greenwood and Ginger Awtry will brainstorm and will call President Schultz if signs need to be made and will also ask Keller Police Department about volunteers to stand at different blocked streets to direct traffic. Member Stoltenberg will bring cookies and napkins and President Schultz will bring lemonade and water. [twill be a simple program, and President Schultz will forward to the Board when it is complete. b) Decoration Day The Board went over the copy of the program, minute by minute. President Schultz presented two different flyers, one that will go up in businesses as advertising, and the other that was more general, to be made into posters that could be used year after year. The Board decided to give a $100 donation to each of the three organizations participating in our program, for a total of $300. Member Stoltenberg will email Rod Harding about coming to Flag on Monday, May 21 to announce the bicycle parade at Decoration Day. Ginger Awtry will have flyers printed for Member Stoltenberg to put in backpacks of the PYP students. 6. WA JUNIOR HISTORIAN PROGRAM The WHPS will relaunch the WA Junior Historian Program in the fall of 2012. Please read the report and forward any questions and/or comments to President Bert Schultz or Member Megan Brady. 7. WINDOW EXHIBITS President Schultz asked if anyone has or knows of anyone who has older, unique 5 -piece place settings for a display. Please email President Schultz if you do. 8. BOOK SALES AGREEMENT The Board agreed to not let the book be sold for a much reduced price. Ginger Awtry will look into finding the old marketing flyers and have those reprinted for Vaquero to use in marketing the book in the Pro Shop. wHP5 Minutes 04/30/2012 Page 2 of 3 President Schultz wants to come up with a "full -court press" to aggressively market and sell books. 9. TROPHY CLUB PARTICIPATION/NEXT STEPS The Trophy Club Town Council gave their support. Member Budarf will go back and ask for mailing lists, not for a database, but to send out a one-time letter for membership. Member Budarf would like to see if Ron White would start a Junior Historian Program in Trophy Club. The Board would like to think of ways to give Trophy Club ownership into WHPS without changing our name. One suggestion was to have a Trophy Club Membership Committee. President Schultz would like to propose to expand the WHPS Board to 9 members. It will be put on the June 181h Town Council agenda. MOTION: Member Thornton made a motion to expand the WHPS Board to 9 members. Members Budarf seconded the motion. The motion carried. 10. ADJOURNMENT President Schultz adjourned the meeting at 3:33 The next meeting will be held Monday, May 21 at 1:30 P.M. at the Westlake Museum.
