HomeMy WebLinkAbout02-27-12 WHPS MinMINUTES OF THE WESTLAKE HISTORICAL PRESERVATION SOCIETY February 27, 2012 Westlake History Museum 3 Village Circle, Suite 104 PRESENT: President Bert Schultz, Kelly Bradley, Kristi Layton, Karen Stoltenberg, Stephen Thornton ABSENT: Megan Brady OTHERS PRESENT: Ginger Awtry, Bryan Buchleiter, Jim Budarf, and Alan Heath 1. CALL TO ORDER. President Schultz called the meeting to order at 1:43 P.M. 2. REVIEW AND APPROVE MINUTES OF THE WHPS MEETING HELD ON January 23, 2012, President Schultz asked for a motion. MOTION: Member Bradley made a motion to approve the minutes. Member Layton seconded the motion. The motion carried. 3. REVIEW AND CONFIRM COMMITTEE CHAIRS President Schultz reviewed the Committee chairs, and asked for a motion. MOTION: Member Stoltenberg made a motion to remove President Schultz as Chair of the Public Relations Committee and make Ginger Awtry the Chair of the Public Relations Committee. Member Thornton seconded the motion. The motion carried. 4. TREASURER'S REPORT Member Layton gave the Treasurer's Report, and reported that we have a net income of $1196.33. Member Layton will do some research about the car show sponsorships and email around an updated report. President Schultz asked for a motion. WHPS Minutes 02/27/2012 Page 1 of 4 MOTION: Member Thornton made a motion to "table" the report and revisit the Treasurer's Report at the next meeting. Member Bradley seconded the motion. The motion carried. Mr. Budarf had a suggestion to pursue other retailers to sponsor the Car Show, such as ChickFilA and Domino's Pizza. Mr. Buchleiter also suggested Christian Brothers' Automotive, Discount Tire, and Krispy Kreme Donuts. Member Bradley suggested we give first chance to all Westlake retailers. President Schultz will pursue this with Mr. Budarf. 5. MEMBERSHIP REPORT Member Bradley reported that WHPS has 1 new membership, Jim Budarf, and 1 membership renewal, Dominick Circione. President Schultz finished the 2012 Membership letter and gave a hard copy to Member Layton. 6. COMMITTEE REPORTS a) Spring Living History Presentation The Board discussed whether to do a hard copy invitation or an electronic invitation and decided to do an electronic invitation. Mr. Budarf mentioned that over 25 email addresses in an email can trigger the email to go the SPAM box, so he suggested that groups be set up in no more than 24 email addresses together. Member Bradley mentioned that she would be better equipped to be on the Membership Committee with Member Layton, so Member Stoltenberg and Member Bradley will switch positions. (Member Stoltenberg is now on the Public Relations Committee and Member Bradley is now on the Membership Committee). President Schultz would like to entrust the emails of notices and invitations to the Public Relations Committee (Ginger Awtry and Karen Stoltenberg). Ginger Awtry stressed that a WHPS board member needs to send out the emails to the fellow societies, assisted living homes, MMOW, and its members and contacts. Ms. Awtry can send it to the press contacts. Member Stoltenberg will look into Constant Contact for WHPS, and will email a report. President Schultz would like a progress report at the next meeting. b) Historic Marker Dedication Day The marker will be ordered this week, and it costs $1419, which is a little less than the budgeted number of $1500. The flyer is being prepared right now by Ben Nibarger. President Schultz and Ms. Awtry are putting together the program, and we expect 20 — 30 people to attend. We will serve cookies, lemonade, and water. It will be approximately 1 hour long, and we will post the colors on either side. c) Decoration Day Program Member Bradley is the Chair of Decoration Day, and Mr. Budarf and Member Stoltenberg will assist. They will have a progress report for the next meeting, emailed around ahead of time. Member Thornton will contact Jack Weisman about donating a tree, as he has done in the past. Member Stoltenberg presented the prizes report, and the Board liked the prizes, but thought another should be found in place of the glow -in -the -dark necklaces, as it will WHPS Minutes 02/27/2012 Page 2 of 4 not be dark during the Decoration Day program. The Board decided on a new bike route to complement the new space for Decoration Day. The bicycle riders will meet in the parking lot, and Member Stoltenberg will have a sign showing them where to meet. Ms. Awtry will prepare a flyer for Decoration Day, and Member Stoltenberg will stuff backpacks at school and recruit more Westlake Academy children to participate. Member Layton presented the Food Committee report, and the Board approved what the Food Committee decided. Member Layton will write a Thank You note for Solara, and she will get the note and the book to Member Brady to deliver. Mr. Budarf mentioned that the Board members need to start recruiting society members to help on our committees and events. He also mentioned that this is a good way to recruit new society members. d) Westlake Classic Car Show The website will be up and running this week. 7. NEW BUSINESS a) Westlake Academy Junior Historian Program President Schultz spoke with Mr. Harding about relaunching the Junior Historians Program at Westlake Academy_ Mr. Harding will speak with Dr. Calzini, and we hope to relaunch it in the Fall of 2012. Member Brady will be the Chair of this Committee. b) Second Quarter and Third Quarter Museum Window Exhibits The exhibits are planned for the rest of 2012 and 2013, listed on the handouts. Mr. Budarf inquired about insurance coverage for these items, and Mr. Schultz replied that the insurance is through the Town of Westlake. c) Fourth Quarter Living History Presentation The Living History Presentation for the fourth quarter will be an evening with Wyatt Earp. d) Fourth Quarter Historical Marker Dedication Day The potential sites are Shockey-Huffman Homestead Site (Solana Village), Possum Trot School Site, Circle T Ranch, and the Old Stage Coach Stop/Thornton Home Site. 8. ADJOURNMENT President Schultz asked for a motion to adjourn the meeting. MOTION: Member Thornton made a motion to adjourn the meeting. President Schultz seconded the motion. The motion carried. President Schultz adjourned the meeting at 3:35 P.M.
